Partially posted transactions in DOP Finacle


Partly posted transaction will be created in the following scenarios as mentioned below

(1) If Teller has no cash while doing withdrawal / closure transaction
(2) If account involved in the transaction has no sufficient fund 
(3) Selecting incorrect office account which funding 
(4) Using HTV , instead of using relevant product menus 
(5) Doing transactions with irrelevant or incorrect menus ( as a result of which scheme validation fails)
(6) Not using validate button and doing postings , bulk postings
(7) Without clearing validations in Inward clearing zone, and posting in HMICZ
Please note that transactions for which all records ( Both debit and credit legs) are in entered state then only transaction can be deleted. If any transaction is associated with other transaction ( Like closure interest transactions) , those transactions should not be deleted.
If any transaction is in partly posted, it should be POSTED at any cost and thenonly should be verified

Latest FAQ on Clearing both inward and outward clearing in DOP Finacle



1. What is Inward Clearing?

Inward clearing is a cheque drawn by a drawer (DoP customer) from a drawee bank (DoP) in favor of a customer belonging to other bank which is the presenting bank.

2. What is Outward Clearing?

Outward clearing is when cheques drawn by other bank customers are presented for clearing by presenting bank (DoP) in favor of their customer (DoP customer) to drawee bank for clear funds.

3. How do I open a zone in finacle and make entries in the zone?

For Inward Clearing zone can be opened by using menu option HMICZ and respective entries can be made in the zone by using HICTM menu.
For Outward Clearing zone can be opened by using menu option HMCLZOH and respective entries can be made in the zone by using HOCTM menu.



4. What are the steps to be followed in case of Inward Clearing zone?

In Inward Clearing below step by step process can be followed:
a. Open zone in HMICZ using function ‘O’.
b. Make entries manually using menu HICTM or for bulk entries use menu HRMI to upload a file.
c. Authorizer to login and use menu HMICZ menu to suspend the zone.
d. Then invoke menu HICTM to verify the entries uploaded.
e. Then invoke validation run report in HMICZ.
f. Check HPR validation report for any discrepancies in the accounts under clearing.
g. Then invoke HMICZ revoke the zone so that action can be taken on accounts with discrepancy.
h. User to appropriately take action by rejecting the instruments in HICTM
i. Authorizer to verify the modified instruments in HICTM.
j. Then invoke HMICZ suspend the zone.
k. Invoke HMICZ check for account statistics and check for fields received but not listed and listed but not received and make sure it is zero so that unnecessary credit to short claim and excess claim account can be avoided. Posting can be invoked after checking the account statistics screen.
l. Once posting is complete proceed with closure of zone in HMICZ.

5. What if my zone is not getting posted?

a. Check for error report in HPR.
b. Check HICTM if all instruments are verified
c. Check validation status in HMICZ to be complete

6. How do I check the status of individual instruments lodged in Inward Clearing from front end?

  • Invoke menu HICI and give account number and click on GO.

7. What if my zone is locked?

Invoke menu HUNLKZ to unlock the locked zone.

8. What if duplicate instrument is added in the zone?

Section A – shows the Information when the issue is faced.
If duplicate instrument is added in the zone and user did not check the validation report and posting has been initiated. In such case system will create a partly posted transaction with un-posted part tran in entered status and consolidated amount in SHORT CLAIM account for all the duplicate cheque entries.
Section B – shows steps to be taken to solve the issue
In such cases user to follow below approach:
Mark the duplicate instrument as rejected with appropriate reject reason code. Also see that if any charges are applied to the customer, the same need to be reversed / amount of the charges to be collected can be made as “zero” in HICTM screen. Please refer the below document for step by step process.

9. What are the steps to be followed in case of Outward Clearing?

a. Open zone in HMCLZOH using function ‘O’.
b. Make entries manually using menu HOCTM or for bulk entries use menu HCLUPLD to upload a file.
c. Authorizer to login and use menu HMCLZOH menu to suspend the zone.
d. Then invoke menu HOCTM to verify the entries uploaded.
e. In case of any bank not participating in return clearing for Inward invoke menu HMARKPND to markpend all those instruments or bank as a whole to hold these instruments.
f. Then invoke HMCLZOH to release the zone to shadow balance.
g. For rejection of outward instruments user to open inward zone OWRTN-MICR.
h. User to appropriately take action by rejecting the instruments in HICTM
i. Authorizer to verify the modified instruments in HICTM.
j. Then invoke HMICZ suspend the zone.
k. Invoke HMICZ check for account statistics and check for fields received but not listed and listed but not received and make sure it is zero so that unnecessary credit to short claim and excess claim account can be avoided. Posting can be invoked after checking the account statistics screen.
l. Once posting is complete proceed with closure of zone in HMICZ.
m. Similarly in HMCLZOH, initiate regularization of the zone and proceed with closure of the zone in HMCLZOH.

10. What if a customer had deposited a non DoPchequein outward clearing and funds are not available in the account?

  • User to invoke HOIQ menu to check the status of the deposited cheque.
  • Check HACLI to check for field “Funds in Clearing”.

11. How do I check the status of inward and outward zone?

  • Invoke HMCLZOH for outward clearing and inquire on the zone status.
  • Invoke HMICZ for inward clearing and inquire on the zone status.

12. What if I have all part transaction released to shadow balance have not been posted?

Invoke HMCLZOH to check the status of the zone. If in released status proceed with regularization.
Invoke HTM and post the transaction.

13. What if regularization of zone is not happening?

Invoke menu HMARKPND and check for any mark pending done for any instrument or bank. If record exists, invoke menu HREVPND for revoking the mark pending done. Post this regularization can be done in menu HMCLZOH.

14. What if a wrong date (stale date or future date which is more than 3 months from existing date) is entered?

User to check validation run report and modify the record in HICTM and correct the date.

15. What if accounts in outward clearing have received the credit and the zone status shows as released to shadow balance?

This is due to mark pend done on some instruments in menu HMARKPND and regularization done in HMCLZOH where other than mark pend instruments receive the credit and others remain in released to shadow balance along with the outward zone MICROW. Invoke HREVPND to revoke the mark pend and proceed with remaining zone regularization of zone in HMCLZOH.

Solution for the RD bulk list error in DOP Finacle - Calculated default/rebate fee is not matching with actual default/rebate



Generally in DOP for preparation of agent RD bulk lists we will login to agent login in the India post website and after preparation system will generate the reference number.
Agent list can be prepared in 3 modes they are
  1. Through Cash
  2. Through DOP cheque
  3. Through Non DOP cheque.
  • When the RD bulk list is prepared using cash the reference will start with the letter 'C'
  • When the RD bulk list is prepared using DOP Cheque the reference will start with the letter 'DC'
  • When the RD bulk list is prepared using Non DOP Cheque the reference will start with the letter 'NDC'
  • After preparation of RD bulk list agent will submit to the counter PA, Then the counter PA should accept the list and post using the menu HAGTXP.
  • After posting in the counter PA login system will generate the report in HPR. All the users are requested to check the HPR for agent list posting before proceeding for verification.
  • For sometimes system will show the error Calculated default/rebate fee is not matching with actual default/rebate in DOP Finacle in the HPR report.
  • Alternatively we can check the status of the list using the menu HAGTXP and select the functions as Inquire and then check for the failure reason in the field transaction status.
  • The reasons for the above error and the solution is mentioned in the below procedure.
The error screen shot will be as shown in the below figure
From the above screen shot it is clear that system is showing the above error as mentioned while trying to post the agent list using the menu HAGTXP in DOP Finacle.

Root cause of the above problem : - 

  • The above problem will occur when there is mismatch in default fee or rebate which means that agent might prepared before due date and came for posting to post office after due date then there will be mismatch in default fee/rebate.
  • Generally in order to check the due date and pending transactions in the RD account we will use the menu HPLIST in DOP Finacle.

Solution for the above Problem :- 

For example in our example details of Agent:
Agent ID: MIG0029921
Date: 04-12-14
Reference no: C1693566 for Rs 3939/-Note: This customer prepared list for November and December month 2014. One list (ref no: C1693714) posted with correct default fee
  • Installment for November (ref no: C1693714) i.e. 22-11-2014 has been paid on 12-12-2014 for which default fee of Rs.5/- has been collected already. User is now trying to pay the installment for December month with default fee where there is no default fee. Hence the specified error is coming at the time of HAGTXP.Please prepare a fresh list for all the specified accounts and proceed for payments.
  • If the list is prepared before due and the respective agent submitted after due date in the counter then the system will throw the above mentioned error.
  • Only solution for this case to prepare fresh list and accept again.

Important Points to Remember :- 

  • Always advise the agents to prepare the lists well in advance before due and also intimate them to submit in counter before due date only in order to avoid the above mentioned problem.
  • If the list is prepared through cheque mode then always advise the agents not to use the same cheque number for multiple lists.
  • Only we should use cheque number for a single lists, if we want for multiple lists then use difference cheque numbers.
  • Also if the agent want to include same account number in multiple lists then advise the agent to submit the first list in counter for posting and then advise to prepare second list to include that same account number and so on.
  • In simple after posting the first list only agent should prepare second list and so on if the agent want to include same account number in multiple lists.

         Many a times, we face situation of entering wrong amount in Finacle while entering large amount. This especially happens when there are more zeros in amount Like Rs 1,00,000/- etc. Sometimes we enter Rs.10,000/-deposit instead of Rs.1,000/- which is very difficult to rectify. But there is one solution in Finacle for this problem i.e we can use first alphabet of amount in words while entering amount:
e.g : If Rs.1, 000 needs to be entered, we can enter as------------------1T
Rs.10,000/----------------------10T
Rs.5,00,000/--------------------5L
Rs.10,00,000/------------------10L
Rs.1,00,00,000/----------------1C
Rs.18,00,00,000---------------18C

Some points to consider:
1)      This validation works only for amount Rs.1000/- and above
2)      Amount should be in multiple of 1,000 i.e we cannot enter Rs.1,500/- using above method
3)      This validation doesn’t work in CRDP & CPDTM menus
4)      This validation works in CXFER, CTM & HTM Menus

The brief of the changes (as per RBI Circular Dated 13.11.2016) is as follows:- 

  • The limit for exchange of Specified Bank Notes, over the counter has been increased from the existing Rs. 4000/- to Rs. 4500.
  • The daily limit on withdrawal from ATMs has been increased from the existing Rs. 2000/- to Rs. 2500/- per day in the recalibrated ATMs, other ATMs will continue to dispense Rs. 50 and Rs. 100 bank notes until they are re-calibrated.
  • The weekly limit of Rs. 20000/- for withdrawal from accounts has been increased to Rs. 24000 and the daily limit of Rs. 10000/- per day stands withdrawn.

This is regarding the proper functioning of Branch Offices in view of availability of New currency notes. As informed currency is available in all RBI /SBI chests across the country. you are requested to instruct all concerned Post Offices to feed BO with adequate new currency note for supporting withdrawal form accounts.

It is also requested to instruct all Divisions/POs to demand sufficient fund from the Banks to cater the need of Branch Post Offices. If Banks are not providing sufficient cash, same to be reported to concerned Bank authority locally. if Post Offices are still not able to get cash, the same may be escalated to Directorate Control room. 
It is requested to start sending cash to BOs , if Post Offices are receiving required cash (Where Post Office are Open - for today). 
I have been directed to request you to kindly send email giving details on BO deposit, withdrawal and number of transactions with value on daily basis.

         Subject:- Modification in Public Provident Fund (PPF) Scheme Rules,  2016  regarding  premature closure of PPF Account.
Sir/Madam,
            The undersigned is directed to say that vide its O.M No.1/4/2016-NS-II dated 20th June,2016, Govt. of India, Ministry Of Finance, Department of economic Affairs (Budget Division) has notified the amendment to the Public Provident Fund Scheme, Rules 1968 as per the notification dated 18.06.2016 (Copy enclosed).
02.       As a result of this amendment, a subscriber shall be allowed premature closure of his account or the account of a minor of whom he/she is the guardian, on a written application to the Account Office, on any one of the following grounds:-
(i)         the amount is required for the treatment of serious ailments or life threatening disease to the account holder, spouse or dependent children or parents, on production of supporting documents from competent authority;
(ii)        the amount is required for higher education of the account holder or the minor account holder, on production of documents and fee bill in confirmation of admission in a recognized institute of higher education in India or abroad:
03.       However, such premature closure shall be allowed only after the account has completed five financial years and such premature closure shall be subject to deduction of such amount which shall be equivalent to one percent less interest on the interest rates as applicable from time to time in the table payable on the deposits held in the account from the date of opening of the account till the date of such premature closure. This calculation has to be done in accordance with the sample calculation as shown in the table attached in the notification dated 18.06.2016. Post offices should follow the following procedure while handling such cases:-
(a) All requests for premature closure of PPF Account supported by Medical Certificate from SMO or CMO of a Government Hospital/Dispensary/Health Centre (in case of Para 02(i) above) and Admission Letter as well as Fee Bill from a recognized Education Institute in India or abroad (in case of Para 02(ii) above) along with Passbook, should be sent to Divisional Head by post offices after verification of PPF Account details with the CBS system on the application of premature closure. In case account stands at SO, SPM will also take Account Closure Form (in duplicate) from the subscriber and send one copy to Divisional Office along with other documents. Second copy of Account Closure Form should be retained.

(b) Divisional Head, after satisfying the genuineness of the documents, should issue sanction, for premature closure of account and original documents along with Passbook should be sent to Head Postmaster of the HPO concerned.
(c) Head Postmaster should get the recalculation of interest done from SBCO (till software is amended) and close the account as Exceptional Closure in Finacle CBS Application and closure proceed should be credited into office account 0340. All such payments should be made only by crossed Cheque for the amount calculated by SBCO (not as shown by Finacle). Closure Amount calculated by SBCO (after re-calculation of interest) should be accounted in HPO LOT and Consolidation after manual correction for which entry in HO Error Book should be made. Copy of error entry should be attached with closure voucher. Sanction of Divisional Head and supporting documents should also be attached to the account closure voucher.
(d) In case account stands at any SO, HPO should first transfer the account from SO to HPO, close the account as mentioned above. Particulars of payment for which cheque is issued as mentioned in Para(c) above, should be mentioned on the Account Closure Form (already received from SO through Divisional Office) by HPO. This amount should be accounted in HPO itself as it would appear in LOT and Consolidation of HPO.
(e) HPO should send cheque to SO duly entered in SO Slip and SO, on receipt of cheque, will handover the cheque to the depositor after taking receipt on the Account Closure Form retained by SO as mentioned in para 3(a) above.  This Account Closure Form shall be sent to HPO for onward transfer to SBCO. SBCO will attach this Account Closure Form with the copy of Account Closure Form received from HPO.
04.       This may kindly be circulated to all CBS and   non-CBS Post Offices for information and necessary guidance for staff and customers. Post Offices on Sanchaya Post will close the account by using the option Claim Closure and follow the rest of the procedure as mentioned for CBS Offices.

Solution for the SB withdrawal error-"Stale instrument" in DOP Finacle

  • Generally in DOP we will use the menu CTM for deposit/withdrawal of SB accounts.
  • CTM stands for Transaction Maintenance.
  • When we try to withdraw the SB account there will be 2 mode payments either through cash or cheque in DOP. 
  • In order to do payment through cash use the menu CTM option.
  • In order to do payment through cheque use the menu CXFER option.
  • Customers can withdraw using the withdrawal form (SB-7) or use POSB cheques for SB withdrawals in DOP.
  • When we try to withdraw the SB account using the menu CTM through POSB cheque then the system will show the error-"Stale instrument" in DOP Finacle.
  • The error screen shot will be as shown in the below figure

From the error shot it is clear that the system is showing the error as shown in the above figure


Root cause of the above problem :- 

  • The above error will occur when the instrument date is greater than 3 months i.e., if the date of the POSB cheque is more than 3 months as per POSB norms we should not accept that cheque hence the system will display the error as "Stale instrument "
  • For example if the difference between instrument date and bod date(today's date) is greater than 3 months then system will throw above said error.

Solution for the above Problem :- 

When the above error occurs then advise the customer to present the new cheque with date on the cheque should be less than 3 months old i..e, Please specify instrument date as the date which is not exceeding the difference of 3 months from bod date.

Prcodeure for generating the higher value withdrawals report in DOP Finacle VIA- sapost.blogspot.in


  • Generally in DOP every HO concerned postmaster will prepare the list of higher value withdrawal accounts from all the SO's under that HO and including HO accounts.
  • Every HO postmaster after preparation of list of higher value withdrawal accounts generally categorize in sub division wise and hand it over the list to the respective inspection official. 
  • In order to generate the above reports we can use the menu HFTR or HFTI in DOP Finacle and the detailed step by step procedure is mentioned below for reference.

Step by Step procedure to generate the report for higher value withdrawals in DOP Finacle:- 

  • Invoke the menu HFTR
In the next step enter the following details as mentioned clearly in the below steps
Enter the field SOL ID _________________
Select the field Part Transaction Type as "debit"
Enter the field Transaction amt (Low) as ______________ (enter amount as per requirement.)
Enter the field Start Date ____________
Enter the field End Date ______________
Enter the field General Ledger Subhead Code as "30001" for SBGEN or some other code select from the searcher as per the requirement.
Uncheck the field Additional Criteria "Today transaction only"

  • Select the field MRT File Name as "FTR_01.MRT" from the searcher as shown in the below screen shots.



  • Then finally click on Go then the system will show the list of accounts for which withdrawals has been made above the required amount(in our example above 5000 in SB scheme) as shown in the below figure

Then finally click on Print then the system will show the message report generated check in queue which means that check in HPR report and take printout.

Solution for the error using the menu HACSP-"E5389-The future value dating is not enabled" in DOP Finacle

    We generally use the menu HACS or HACSP to know the number of account opened/closed for a particular period.
    We can also generate the teller balances report and vault balance report by selecting the corresponding General Ledger Subhead Code from list of codes available in the menu HACS/HACSP.
    Recently future date transactions are disabled in Production server i.e., in Finacle live server hence we are trying to generate the above said reports users are facing the error - "E5389-The future value dating is not enabled" in DOP Finacle.
    The error screen shot will be as shown in the below figure
From the above screen shot it is clear that the system is showing the above said error.
Solution for the above Problem :-

    In order to solve the above problem enter all the required fields along with those fieldsselect the field Include Future Balance as "No"as shown in the below procedure
    then the system will not show any error it will generate the report as desired by the user.
    For example I am generating list of accounts opened for a particular period as shown in the below procedure.

    Enter the following fields in the menu HACSP
    Enter the field SOLID _____________
    Enter the field Scheme code ____________ (or)
    Enter the field general ledger subhead code ___________
    Enter the field Open Date (low) ____________
    Enter the field Open Date (High) _________________

    Select the field Include Future Balance As "NO" (this is new modification done in the software hence select as NO) as shown in the figure

Then finally click on Submit then the system will generate the desired report as shown in the below figure.
